How everything works.

Every feature explained properly — for tenants, landlords, agencies, hosts and service providers.

For landlords

Working with agencies

If a management agency runs some or all of your properties, you can delegate to them on Rentor — with fine-grained control over exactly what they may do, property by property.

Assigning an agency

  1. Go to Agencies under Portfolio and click + Assign agency.
  2. Enter the agency's email — they must already have a Rentor agency account.
  3. Pick the property you're delegating.
  4. Choose a permission level (below) and click Assign agency.

The agency sees the property in their portfolio immediately, with exactly the powers you granted. Assigning an agency is available from the Growth plan up — see Plans, billing & add-ons.

The three permission levels

  • Full control — the agency can manage all aspects of this property on your behalf.
  • View only — they can see rents, tenants and maintenance, but cannot make changes.
  • Custom — you tick exactly which actions they may perform:
  • Collect rent payments — record rent received, manage the tenancy's billing charges, and run metered utility billing.
  • Manage maintenance jobs — acknowledge requests, assign fundis, approve quotes and close jobs.
  • Assign & remove tenants — invite and assign tenants, prepare and send leases, and give a tenant notice. Finally ending a tenancy stays with you.
  • List & de-list units — add units, and publish and unpublish listings. They can't change an existing unit's rent or photos.
  • View financial reports — see the property's rent figures and arrears.
  • Send official notices — post formal announcements to the property's tenants.
  • Sign leases for the owner — sign the landlord side of a lease on your behalf. Off by default; grant it deliberately.

With Custom you can also record a Commission % of rent collected — a note of your agreed terms.

A few important guarantees: permissions apply per property (an agency with full control of one building has no special powers on another), they only ever see properties you've assigned, and rent still settles to your account — delegation never redirects your money.

When an agency adds your property for you

An agency that already manages your building can put it on Rentor themselves — but nothing happens in your name until you say so.

The moment they add it, you get an email and an SMS from Rentor saying the agency has added the property and says it manages it for you, with a link to a page headed "Is this your agent?". You don't need a Rentor account or a password to answer. The page shows the property, where it is, how many units they've recorded, the agency's name and phone number, and what they'll be able to do if you agree. Then two buttons, the same size:

  • Yes, they manage it — the agency gets Full control of that property: listing the units, recording tenants, collecting rent into your account, handling repairs and sending notices. It stays your property, and you can end the arrangement whenever you like.
  • No, they don't — you can add a line about what happened (optional), then confirm. Their access is removed straight away, they're told, and Rentor staff look into it.

Until you answer, nothing about your property is public and no rent can be collected. The agency can only fill in the building's details — units, rents, photos. If you don't answer, Rentor reminds you a few times and then stops; the property simply stays private. The link works once: after you've answered it's spent, and if you need it again the agency can resend it from their dashboard.

Not sure who they are? Ring the agency on the number shown before you answer. And if somebody is claiming a property of yours that they have nothing to do with, say no — that's exactly what the button is for.

If you don't have a Rentor account, saying yes offers you one — Open a free account — so you can watch every unit, tenant and shilling yourself. It's optional. With an account, the agency appears on your Agencies page like any other, where you can narrow their permissions or revoke them.

Changing your mind

Each assignment card shows the agency, the property, the level, and any custom permission chips. Click Revoke to withdraw an assignment — the agency loses access to that property immediately. To adjust permissions, assign the same agency to the same property again with the new level: it updates in place, and the agency is told their permissions changed. Ended arrangements stay listed under Past.

An agency can also step away on its own — it releases the property from its portfolio, you're notified, and you're back in full control.

Rating your agency each quarter

Once a quarter, a review window opens: "Quarterly agency reviews are open". On each assignment, click ⭐ Rate this quarter and score Portfolio management and Communication, with an optional comment. Your reviews build the agency's public rating — the same star average you saw when choosing them — and you can edit your review while the window is open. A contract that only started this quarter unlocks for review the next one.
