For landlords
Expenses & reports
Rent tells you what came in; expenses tell you what it cost. Log both on Rentor and the Reports page turns them into statements you can download, share or hand to your accountant.
Logging expenses
- Open Expenses under Money and click + Add expense.
- Pick a Category: Maintenance & repairs, Utilities, Security, Cleaning & garbage, Management fees, Insurance, Land rates & levies, Legal & professional, Marketing or Other.
- Enter the Amount (KES), a Description (e.g. "Borehole pump repair") and the Date incurred.
- Optionally add the Vendor, and attach the expense to a specific Property — or a specific Unit within it — or leave it as "General / whole portfolio".
- Attach the receipt or invoice (JPEG, PNG or PDF up to 5 MB) and click Save expense.
Your expense list shows every entry with its category chip, date, property and vendor, a Receipt link where you attached one, and a running total. Logged expenses feed your financial reports, so the more faithfully you record them, the truer your net-income picture.
The Reports page
Open Reports under Insights & Tax. You'll see a set of report cards for your role — financial and operational views of your portfolio, from income and arrears to occupancy and maintenance costs. Pick one and it renders on screen with headline figures and detailed tables.
Choosing a period
Most reports take a Period: This month, Last month, This quarter, Year to date, Last 12 months, All time, or Custom range with your own from/to dates. A few are point-in-time snapshots "as of today".
Narrowing it down
Beside the period, most reports can be filtered — by Building, Property, Unit, Tenancy or Tenant, depending on the report. Pick one and both the on-screen tables and the downloads cover just that slice: one block's income for the owner's meeting, one tenant's payment history for a reference letter.
Downloading
Two buttons on every report:
- ⬇ Download PDF — a clean, print-ready document.
- ⬇ CSV — the raw rows for Excel or your accountant.
If you've set up white-label branding, your name and logo appear on the downloaded documents.
The monthly email report
Prefer the numbers to come to you? At the top of the Reports page is "Monthly report by email":
- Switch it On.
- Choose which report you want each month.
On the 1st of each month, last month's summary lands in your inbox with the full data attached as a CSV. The card shows when your last report was sent, and you can switch reports or turn it off any time.
On the phone app
All three are in the More menu. Expenses (under Money) has Log an expense with the same fields, and Photograph the receipt uses your camera — the easiest moment to capture a receipt is while it's still in your hand. Reports (under Reports & Insights) renders the same reports with the same period and filters; Download PDF and CSV open in your phone's browser to save or share. Monthly Report has the Email me a monthly report switch and the choice of which report.
