For caretakers
Messages
Sorting a building's day-to-day means talking to people. Your Messages page gives you two lanes: an open forum for each building, and a private line to the landlord or agency you work for. Personal phone numbers and emails are never shared here.
Property forums
Each building you are assigned has its own forum, shared with that building's tenants and its landlord — one open noticeboard for the whole building.
- Open Messages and stay on the Property forums tab.
- Pick the building from the list on the left.
- Read the thread, tap ↩ Reply under any message, or write in the composer — "Water will be off 10am–noon tomorrow for the pump repair" — and tap Send.
Because the whole building sees the forum, it is the right place for anything tenants should hear together: a repair schedule, a garbage-day change, a request to keep the corridor clear. Every message shows who wrote it and their role, so tenants know it is the caretaker speaking.
One boundary to know: official notices — the formal, pinned announcements — come only from the landlord or agency. You can discuss anything in the forum, but you cannot post an official notice.
Message manager
The Message manager tab is your private, one-to-one line to each landlord or agency you work for.
- Switch to Message manager.
- Pick the landlord or agency — everyone you work for is listed, each showing which property connects you.
- Type your message and tap Send. The thread is private: only you two can see this conversation.
Use it for anything that is not for the whole building's ears — "Unit A3's tenant says the leak is back", "I'll be away Friday, my brother will open the gate", "the fundi never showed up". Messages travel both ways, so your landlord can reach you here too.
Who you can and cannot message
- You can: post in the forum of any building you are assigned, and privately message the landlord or agency managing those buildings.
- You cannot: privately message tenants. Anything between you and a tenant belongs in the building's open forum, where the landlord can see it too — that transparency protects both of you.
If a landlord ends your assignment, that building's forum and its manager contact disappear from your Messages; your other buildings are unaffected.
On the phone app: the Messages tab has the same two lanes — pick a building for its forum, or a manager for a private chat. A small flag beside anyone else's message lets you report it to Rentor, and block that person if you need to.
Tip: when you report an issue in Reporting maintenance, a short forum post telling tenants it has been reported saves you ten doorstep conversations.
