For agencies
Agency billing
Agency subscriptions are sized by one number: the total units under management across every property in your portfolio — the ones clients assigned to you and the ones you added yourself. Your Overview counts it for you, and Billing & Plans (under Account) is where you manage the rest. Billing is for the agency's main account only; staff roles can't reach it.
The agency plans
- Starter — for a small book: up to 50 units under management and 3 staff accounts.
- Business — for established agencies: up to 200 units under management, 10 staff accounts, consolidated reporting, and KRA eTIMS filing.
- Scale — for large agencies: up to 1,000 units under management, 30 staff accounts, and white-label branding on top.
- Hostel Management — for agencies running student housing, where every bed counts as a unit: up to 2,000 units under management and 30 staff accounts.
- Enterprise / custom — beyond that, click Custom pricing (or Talk to us on the Enterprise card) and describe your portfolio; Rentor's team prepares a private plan pinned to your account, shown as "Prepared for you" on this page.
For current prices, limits and what each plan includes, see the Pricing page or the plan cards in Billing & Plans — the cards are always the up-to-date figures. Use the Billing cycle switch to compare Monthly and Annual; where paying annually saves you money, the card says how much.
Before you subscribe
New agencies get a small trial allowance — currently enough for about 10 units under management — so you can take on your first properties and feel the platform out before paying. Staff accounts aren't part of the allowance; they come with a subscription. Once your book grows past the allowance, a landlord assigning you a property (or you adding one) is refused until you pick a plan; the properties you already manage keep working while you do.
Paying and managing your plan
The flow is the same as for landlords:
- In Billing & Plans, check your Plan usage — units under management against your plan's limit.
- Click Upgrade on the plan you want, apply a promo code if you have one, and pay by M-Pesa (STK prompt), card, or bank transfer where available.
- The plan activates the moment payment confirms, and the Current plan card shows the date it renews.
Promo codes, referral rewards and credits all follow one rule — the best single discount applies, shown before you pay. See Promo codes, offers & referrals.
What you've paid for is locked in for the period you paid — price, limits and features only ever change at renewal. If a landlord un-assigns properties (or you release one) and your unit count drops, nothing breaks; you can move to a smaller tier at your next decision point.
On an iPhone, the app's Billing & Plans sells the same agency plans through the App Store, renewed and cancelled through your Apple Account; on Android the screen is read-only. The details — including moving between M-Pesa and the App Store — are the same as for landlords: see Plans, billing & add-ons.
Renewal, auto-renew and the grace period
A plan paid on the website runs to the date on your Current plan card. Rentor emails and notifies you seven days before it ends and again the day before. Those are reminders, not charges — Rentor doesn't store your card and never bills you silently.
To stop renewal day depending on your memory, switch on Auto-renew on the Current plan card: flip the switch, leave M-Pesa phone (optional) blank to use your account number (or enter the office line that pays), and click Turn on. On renewal day Rentor sends one M-Pesa prompt to that phone for the plan's current price — and you still enter your PIN, so nothing leaves the account without you. Ignore the prompt and nothing is charged. Auto-renew is offered on paid plans (not during the trial allowance), carries over from period to period, and switches off with the same switch.
If the end date passes unpaid, the plan doesn't switch off that night. Its status changes to PAST_DUE and your portfolio keeps working for a short grace period — currently 3 days; the email you get on the day names the exact date. Renew inside it and nothing skips a beat.
After the grace period, the agency drops back to the trial allowance. Nothing is deleted — properties, tenants, ledgers and records all stay where they are — but you can't take on units beyond the allowance or add staff until you subscribe again, and subscribing picks up where you stopped.
Staff accounts and your plan
Your plan sets how many staff accounts you can run — the Seats used counter on the Staff & Roles page shows your plan's number. Pending invites count towards it. If your team outgrows the count, that's usually the sign to move up a tier — see Staff & roles.
Add-ons agencies use
Add-ons extend a paid plan, so subscribing comes first.
- Extra unit block — more units for 30 days without a full upgrade. Useful when one new client tips you just over your limit.
- SMS credits — bundles for texting tenants off-app across your managed properties. See Reaching tenants by SMS & email.
- Branding / white-label — your agency's name, logo and colours on the receipts, statements and reports tenants and owners receive. Included with some plans; set it up under Branding.
One thing billing never touches
Your subscription pays for the software. Rent on managed properties still settles to each landlord's own account — Rentor takes no cut of it, and neither does your subscription. Your management commission remains whatever you've agreed with each client (landlords can record the percentage on your assignment for the record).
