How everything works.

Every feature explained properly — for tenants, landlords, agencies, hosts and service providers.

For landlords

Caretakers

The person who walks your building every day can do two useful things on Rentor: record monthly meter readings (with photos) and report maintenance. Nothing more — and that boundary is the whole point.

What a caretaker can and can't do

A caretaker account can:

  • Record meter readings on the properties you assign, with a photo of each meter face.
  • Report maintenance issues they spot — a leaking pipe, a broken gate — which land in your queue marked as reported by your caretaker.
  • Talk — join each assigned building's property forum, and message you privately to keep you informed.

A caretaker account can never:

  • See rent, amounts, balances or any money at all.
  • See tenant names or contact details.
  • Bill anyone. They key what the meter says; you see the computation at your rates and you press the billing button.

This isn't just hidden on their screen — the information never reaches their account in the first place.

Inviting a caretaker

  1. Go to Caretakers under Operations and click Invite a caretaker.
  2. Enter their name, email and optionally their phone.
  3. Tap the properties they'll look after.
  4. Click Send invite.

Give Their name and an Email or a Phone — at least one. They get a link by email, by SMS, or both, and it works only for recording readings and reporting maintenance on the properties you picked. If they already have a Rentor account they sign in and tap Accept, and the caretaker role is added to that account; otherwise they tap Create my account. One person never needs two accounts. Pending invites appear in a Waiting to join card, where you can cancel them.

A caretaker who serves several landlords only ever sees each landlord's own buildings — your portfolio is never visible to anyone else's caretaker, and theirs is never visible to yours.

Managing assignments

Each caretaker's card shows which buildings they're looking after. Click Edit properties to change the set — tick buildings on, untick them off. Unticking everything revokes their access to your portfolio entirely: their account stays alive (they may serve other landlords), but it can't touch your buildings, and access ends the moment you save.

How their readings reach you

When your caretaker does the monthly walk, their readings arrive on your Bills & meters page as drafts marked "entered by" with their name, each with its meter photo. Rentor nudges you to review; you check the numbers and photos, see the computed amounts at your price, and click "Add N to rent bills" yourself. If you haven't saved a price for that utility yet, the readings are still there, marked as waiting for a price, and are priced the moment you save one. See Utility billing & meter readings for the full billing flow, and point your caretaker to the caretaker guides for their side.

On the phone app: caretakers mostly live on their phones — after accepting the invite, they get a simple app view with their buildings, the readings sheet and issue reporting. You can manage them from your phone too: More → People & Messages → Caretakers lets you Invite a caretaker, change which Buildings each one covers, cancel a pending invite, or remove someone — which takes them off your buildings only.
