How everything works.

Every feature explained properly — for tenants, landlords, agencies, hosts and service providers.

For agencies

Day-to-day management

With the right permissions from each landlord, your agency runs a property exactly like the owner would — same pages, same tools, always scoped to the property in question. Here's the daily work, tool by tool.

Maintenance

On properties granting Maintenance, the Maintenance page is your repair queue: acknowledge new requests, raise issues yourself (including common-area ones — the gate, the roof, shared water), assign a fundi from the provider directory, approve their quote, and close the job when the tenant confirms the fix. It works exactly as described in Managing maintenance — you'll simply only see the properties you're permitted on. When you raise a job, the owner is notified.

Money

On properties granting Rent and Financials:

  • Rent & Payments shows the transactions you're allowed to see, flags stuck or under-review payments, and lets you + Record a payment when a tenant pays cash or by bank — posting to the ledger and issuing a receipt just like Collecting rent describes. Payments tenants say they made outside Rentor queue up under Reported payments for you to confirm or decline — see Cash & payments made outside Rentor. Remember: the money itself always settles to the landlord's own account.
  • Billing & charges on a tenant's details (recurring charges, penalties, rent due day, commercial VAT) is available with the Rent permission — see Recurring charges, penalties & VAT.
  • Refunds tracks money owed back to tenants — above all deposits when a tenancy ends (Refunds — money owed back to you).
  • Expenses lets you log operating costs against managed properties.

Utilities and caretakers

Bills & meters is one page with two tabs. Tenant bills lets you put a bill you're holding for one unit (KPLC, county water, garbage) onto that tenant's rent with a photo of the bill attached (Adding a tenant's bill). Meter readings gives you the same metered water/electricity check-in as a landlord: set the price per unit on the one-line price form at the top of the sheet, key monthly readings with meter photos (a reading can be saved before a price exists and is priced when you save one), and add them to rent bills, across every property where you hold the Rent permission (Utility billing & meter readings). You can also invite and manage caretakers for those buildings, exactly as in Caretakers.

Tenants, leases and listings

The Tenants page is a list of everyone renting across your portfolio — photo, name, property and unit, tenancy and lease status. Click a row and that tenant's details open with every action grouped in one place — Lease, Property, Money (Billing & charges, Payments before Rentor) and Tenancy. Rows and figures you aren't permitted on simply don't appear — a rent total you can't see shows as a dash, never as zero.

  • With Tenants (assign & remove), you bring tenants in — + Invite tenant, Import CSV, join requests, the reputation preview — exactly as in Inviting & managing tenants. You can also Give notice on a tenancy, with at least 7 days' notice. What you can't do is end one: once a tenancy is on notice, the landlord confirms the move-out.
  • The same permission opens Manage lease: choose Rentor's agreement or upload the owner's own, reword clauses, and send it to the tenant (Creating & signing leases). Signing the landlord side needs Sign leases for the owner as well; without it, the owner signs.
  • With Listings, you add units, publish and unpublish them, and set listing expiry and availability. Changing an existing unit's rent, type or photos stays with the owner.

Communication

On properties granting Notices, the Messages page shows those properties' channels: post to the property forum, send official notices with read receipts, and use the "Reach tenants off-app" tab to SMS or email tenants under the Rentor sender ID — credits and all, per Reaching tenants by SMS & email. The notice composer only appears on properties that grant it.

Reports

Reports builds consolidated financial and operational reports across your managed portfolio — with financial figures covering only the properties where you hold the Financials permission — downloadable as PDF or CSV, plus the monthly email report opt-in (Expenses & reports).

The thread through it all

Every one of these tools filters itself per property, per landlord. If a page looks emptier than you expect, check the property's permission chips on your portfolio dashboard — the landlord may not have granted that capability there, and a quick conversation with them fixes it.

On the phone app: from version 1.3.2 the bottom bar is Home · Properties · Tenants · Discover · More. Tenants is the same roster — tap a tenant and a sheet slides up with the lease, property, messages, money and notice actions your permissions allow. The maintenance queue is one tap away from Home and from Properties, and messages, meter readings, money and reports sit under More.
