How everything works.

Every feature explained properly — for tenants, landlords, agencies, hosts and service providers.

Money, account & privacy

Receipts & transaction history

Every confirmed rent payment on Rentor gets an instant, numbered receipt — and every role has a place to look back over its money.

Receipt numbers

Rentor receipts carry a unique number in the form RNT-2026-000001 — the year, then a running serial. For M-Pesa payments you'll also see the M-Pesa confirmation code alongside it, so you can match the receipt to the SMS on your phone.

Numbered receipts are issued for rent, security deposits and the lease rent a host pays a landlord — whether the money came through Rentor or the landlord recorded it by hand. A stay or a service booking is confirmed on the booking itself, and both sides get a written confirmation by email and notification.

Viewing and downloading receipts

Wherever a payment appears in your history, its receipt is one click away:

  1. Open your payment history (see below for where your role finds it).
  2. Find the payment — the receipt number is shown on the row.
  3. Click the view icon to open the receipt, or the download option to save it as a PDF for your records.

Receipts stay available for as long as you have your account — download them any time, as many times as you like.

Where to find your history

  • Tenants — open Rent & Payments in the sidebar. The Payments & Receipts page shows your rent ledger (each month's due, paid and balance, with Paid, Due or Overdue badges), an expandable invoice breakdown — including meter readings behind any utility charges — and the full list of payments with their receipts.
  • Landlords — open Rent & Payments under Money. You'll see recent payments across your portfolio, each with its status and receipt, plus anything needing your attention.
  • Agencies — the same Rent & Payments view, scoped to the properties you manage.
  • Service providers — your income lives under Money: Earnings for what you've made, and Invoices for what you've billed.
  • Hosts — your Lease bills page shows each bill's receipt number once paid; stay and sublet income appears in your host reports.
  • Wallet users — money you send out has its own Statement on the Wallet page, downloadable as PDF or CSV. See The M-Pesa wallet.

What the statuses mean

  • Confirmed — the money arrived and was posted where it belongs. The receipt is issued.
  • Pending — we're waiting for M-Pesa or the bank to confirm. This usually takes seconds; approve the prompt on your phone if it's still open.
  • Under review — something didn't match what we expected (for example, the confirmed amount differed from the request). The payment is held safely instead of being posted wrong, and you'll be notified once it's resolved.
  • Failed — the payment didn't go through and no money moved. You can simply try again.
  • Reversed — a confirmed payment was undone, for example a refund. The ledger is adjusted and the tenant is notified.
A payment marked Under review is not lost — it's parked until it can be posted correctly.

Rent from before Rentor

If a tenancy moved onto Rentor mid-way, the rent paid before that has a home too. Tenants see it as the Before Rentor section on their Rent & Payments page; landlords record it from the Tenants page — open the tenant and choose Payments before Rentor. It works differently from live payments, on purpose:

  • The landlord records it — one payment at a time, or a whole run of months at once. They're transcribing their own records of money they already received, so there's no approval step, just like recording a cash payment.
  • The tenant sees the very same record. You're notified when a past payment is added to your history, and you can open and download each record's document — both sides hold the same fact.
  • It never changes today's balance. These records are history, not money moving now. Your current rent, arrears and receipts are untouched — a past record can never be confused with this month's rent.
  • The documents are their own series. Past-payment records are numbered LEG-2026-000001 rather than RNT-, and each one says plainly that it is a record of history, not a Rentor payment receipt — Rentor didn't receive or verify this money.
  • A record can be withdrawn, never deleted. If the landlord withdraws one (say, a typo), it stays visible to both sides — struck through, marked Withdrawn, with the reason. A record that quietly vanished would be impossible to tell from one never made, and that difference is the whole point if there's ever a dispute.

If you're a landlord recording this history, the how-to is in Collecting rent.

Payments you make to Rentor

RNT- receipts are for money moving between people on Rentor — rent, deposits and the like. What you pay to Rentor works a little differently. A plan, a boost, an extra unit block or SMS credits bought on the website show up on your Billing & Plans page the moment the payment confirms — the plan on your Current plan card, the credits in your balance — and your M-Pesa message or card statement is your proof of payment. Need a formal invoice? Use the our team link at the foot of Billing & Plans.

A plan bought in the iPhone app is charged by Apple, so the receipt comes from Apple by email and the purchase sits in your Apple Account's purchase history.

On the phone app: you can pay by M-Pesa and see your payments and receipt numbers on the go. Receipts, statements and reports open in your phone's browser, where you can save or share the PDF.
