How everything works.

Every feature explained properly — for tenants, landlords, agencies, hosts and service providers.

For agencies

How agency accounts work

A property agency on Rentor manages other people's properties — many landlords, one dashboard. Here's how the account works and how client portfolios reach you.

Becoming an agency

Register as an agency (or add the agency role to an existing account — see Your account & roles) with your business name. Your account then needs verification before landlords' listings can be published under your management: pick your business structure and upload the documents the form lists for it — for a limited company that's the Certificate of Incorporation, company KRA PIN certificate and CR12 plus a director's ID; for a registered business name, the Business Registration Certificate with the owner's ID and KRA PIN certificate. Rentor staff review the documents — usually within 24 hours — and may phone you on your registered number to confirm. Once approved, your agency carries the verified badge landlords look for.

How properties reach you

There are two ways a property lands in your portfolio.

A landlord assigns it to you. For clients who already use Rentor:

  1. The landlord opens Agencies in their dashboard and enters your agency's email (so make sure clients have the exact email on your Rentor account).
  2. They pick the property and a permission level — Full control, View only, or Custom with hand-picked permissions.
  3. The property appears on your dashboard immediately, carrying exactly those permissions.

You can point clients to Working with agencies — it walks them through the assignment step by step.

You add it yourself. For buildings you already manage whose owners aren't on Rentor — or simply haven't got round to it — open Properties and click + Add a property. You name the owner, Rentor tells them by email and SMS, and you can build the property (units, rents, photos) while you wait for them to confirm. Listing, rent collection and tenant messaging open up the moment they say yes. The whole flow is in Adding properties you manage.

Each landlord can revoke or change an assignment at any time, and landlords also rate your agency quarterly — those reviews build the public star rating new clients see beside your name. You can step away too: Release on a property card in Properties ends your management of it, and the landlord is told. Only the agency's main account can release a property, not staff.

Finding your way around

Your sidebar is grouped much like a landlord's:

  • Overview — your consolidated portfolio dashboard (see Your portfolio & permissions).
  • Management — Properties, Tenants, Join requests, Viewings, Maintenance, Stays, Bills & meters, Caretakers, Content Creators, Service Providers.
  • Money — Rent & Payments, Refunds, Wallet, Expenses, Invite & earn.
  • Communication — Messages, Reminders & Alerts.
  • Insights — Reports, Content performance.
  • Account — Staff & Roles, Billing & Plans, Branding, Notifications, Help & support, Privacy, Settings.

Every page automatically shows only the properties — and the powers — your clients granted you.

Your subscription

Agency plans are sized by units under management: the total units across every property in your portfolio — assigned to you or added by you — which your Overview counts for you. As your book of business grows, you move up a tier — see Agency billing for the plans.

A few ground rules

  • You only ever see your own portfolio — properties a landlord assigned to you, or that you added for their owner. Nothing else of a landlord's is visible to you.
  • Permissions are per property, per landlord — they are never merged across clients.
  • The owner always knows. A property you add yourself stays private and build-only until its owner confirms you manage it.
  • Rent settles to the landlord. Managing a property never redirects the owner's money to you; your own subscription and any commission arrangement are between you and your client.

On the phone app: from version 1.3.2 the bottom bar is Home · Properties · Tenants · Discover · More (update the app if yours still shows Maintenance there). Home is your portfolio overview with one-tap shortcuts (Add property, Tenants, Maintenance, Viewings, Staff & roles); the repairs queue is also one tap away from Properties; and everything else — money, messages, reports, billing — sits under More. Staff see only the tabs and shortcuts their role allows.
