For agencies
Staff & roles
An agency is a team. Staff & Roles (under Account) lets your employees work inside your Rentor workspace with their own logins — each seeing only what their role allows.
How staff accounts work
- Every staff member gets their own login — no shared passwords. They sign in as themselves and land inside your agency's workspace, seeing your portfolio filtered through their role.
- A staff login works for one agency at a time: someone already on another agency's team can't join yours, and an account that runs its own agency can't be staff on yours.
- Everything a staff member does happens under their own name, so you always know who did what.
Staff accounts come with an agency subscription, and the number of seats depends on your plan — the Seats used counter at the top of the page shows where you stand. See Agency billing.
Roles: who may do what
What a staff member can do is set by their role — a named permission set you control, on the Roles tab. A role grants one of three levels — none, read (they can see it) or write (they can act on it) — for each of six areas:
- Portfolio & listings
- Tenants & leases
- Payments & ledgers
- Maintenance & caretakers
- Messages & notices
- Reports
That lets you shape roles to how your office really works — a maintenance coordinator who can run the repair queue but only view money, an accounts clerk who works the finance pages but never touches listings, a front-office assistant who can read everything and change nothing.
To get you started, every agency has four Built-in roles: Manager (write on everything), Property Manager (runs the portfolio, tenants, maintenance and messages; reads money and reports), Accountant (works payments; reads the rest; no messages) and Front Desk (messages, plus read-only on the portfolio, tenants and maintenance). Click Edit to rename or re-tune any of them, or + New role to build your own. Built-in roles can't be deleted, and a role of your own can only be deleted once nobody holds it.
What only the owner can do
Some things are owner-only, always — they can never be granted to any role, no matter how senior:
- Managing staff and roles themselves — hiring, role changes, suspensions.
- Anything that moves money out or changes where money lands — the wallet, payout details and payment credentials.
- The agency's subscription — plans, add-ons and billing.
- Releasing a property from your portfolio.
- Changing the agency's own credentials and account settings.
This is a hard boundary, not a default: even your most trusted manager works inside it. If an action needs those powers, it needs you.
Inviting a staff member
- Open Staff & Roles and, on the Team tab, click + Invite staff.
- Enter their Full name and Email address, and pick the Role they'll hold. Add a Phone number (optional) and Rentor texts the invite as well, so it doesn't sit unseen in a spam folder.
- Click Send invite. They get a link, valid for 7 days, to set up their login. If they already have a Rentor account on that email, the invite attaches to it — they don't need a second one.
Unanswered invites sit under Pending invites, where you can Cancel one. When every seat is in use the invite button is disabled until you free a seat or move up a plan.
Managing the team
Each person on the Team tab has a role dropdown — change it at any time and the new permissions apply immediately. Suspend cuts their access on the spot while keeping the record of their past work intact (Unsuspend brings them back); Remove takes them off your team altogether and ends their access to your agency immediately — the right choice when someone leaves.
What staff see
A staff member's dashboard looks like your agency dashboard with the lights selectively on: areas their role grants appear normally, read-only areas can be viewed but not changed, and everything else simply isn't there. All the per-property landlord permissions still apply on top — a staff member can never do more on a client's property than the landlord granted your agency in the first place. See Your portfolio & permissions.
On the phone app: the agency's main account reaches the same page from the Staff & roles shortcut on Home, or under More — invite (with the optional phone number for the SMS), change roles, suspend and remove all work from the phone. A staff member's app follows their role too: for example, someone whose role has no access to Tenants & leases doesn't get the Tenants tab.
