How everything works.

Every feature explained properly — for tenants, landlords, agencies, hosts and service providers.

For landlords

Collecting rent

Rent on Rentor goes straight to you — Rentor never holds your money and takes no cut of it. This guide covers where the money lands, how to follow every shilling, and what to do when a payment doesn't behave.

Where your money lands

Open Rent & Payments (under Money in the sidebar). At the top is the Payout settings card — "Where your money lands" — with a row for each rail:

  • M-Pesa — "Receive rent & payments straight into your own paybill/till." Click Set up: choose Paybill or Till (Buy Goods), enter your number and your M-Pesa (Daraja) API details — consumer key, consumer secret and passkey — and submit. Want to send money out as well? The same form has optional fields under Enable outbound payments, which is what switches on the M-Pesa wallet.
  • Card & bank — "Accept card & bank payments straight into your own account." Pick the payment provider you hold a merchant account with from the list Rentor supports, enter that account's API details, and press Test credentials before you submit so you know they work. Card payers pay a small card fee on top, shown to them before they pay; bank/PesaLink carries none.

For your protection, both need two-factor authentication on your account and a fresh code before anything is saved — see Password, 2FA & security. Rentor's team then verifies the details: the row shows Under review until it's approved, then Live ✓, and from that moment tenants' payments settle directly into your account. If it comes back Not approved, the reason is shown and you can re-submit.

One more detail lives under Settings: the Bank account card, which is the account number that bank transfers and PesaLink payments are addressed to.

Until an account is live, rent that arrives outside the app is simply recorded manually (below) — nothing is lost.

The Payments & reconciliation page

The same page is your money control room:

  • Collected this month — confirmed rent so far.
  • Under review — payments where the amount didn't match what was expected. Rentor support reconciles these; you don't need to do anything.
  • Stuck payments — a tenant started an M-Pesa payment but no confirmation ever arrived.
  • Failed (7 days) — recent failed attempts; those tenants should simply retry.

Below that, Transaction history lists every transaction with filters — All, Confirmed, Pending, Under review, Failed, Reversed — plus the method, the amount, and the receipt number with a ⬇ PDF button on every confirmed payment. Need a whole month's receipts at once? Extract receipts at the top opens the receipts report, where they download together.

Payments your tenants report

Tenants who paid you in cash, by bank transfer or straight to your paybill can say so from their side. Each claim lands in the Reported payments card on this page, marked Waiting on you, with the amount, the method, the date they say they paid, their reference and — if they attached one — a View proof link.

  • Confirm received records it against their rent, clears the oldest arrears first and issues a receipt, with the date they paid kept on the record. If less arrived than they reported, change the figure first — the button then reads Confirm KES … received, and what you confirm is what's recorded.
  • I didn't get this asks for a short reason and Send this back returns it to the tenant. The reason matters: they see it, and it's what lets them go and check.

Arrears reminders keep going to that tenant until you answer, so don't leave these sitting. The tenant's side is in Cash & payments made outside Rentor.

Recording a manual payment

When rent arrives off-platform — cash in hand, a bank transfer, or M-Pesa sent directly — record it so the ledger stays true:

  1. Click + Record a payment.
  2. Pick the Tenant. The amount pre-fills with what they owe.
  3. Choose the Method — Cash, Bank transfer, or M-Pesa (recorded manually).
  4. Add a Reference (the M-Pesa code or bank slip number) and an optional note.
  5. Click Record payment.

The payment posts to the tenant's ledger — clearing the oldest arrears first — a numbered receipt is issued immediately, and the tenant is notified. If they paid more than they owed, the extra sits as credit against next month.

Rent from before Rentor

A manual payment settles money owed now. Rent your tenant paid before the tenancy was on Rentor is a different thing — it's history, and Rentor keeps it apart so it can never be mistaken for money moving today. Record it from the Tenants page: open the tenant and choose Payments before Rentor under Money. (It's offered on ended tenancies too — that is exactly when history gets argued over.)

  • One payment or several months. Enter a single record, or switch to Several months, generate the month range, and edit the draft rows — amount, date, method, reference — before saving. Up to 120 rows go in at once, and the batch saves whole or not at all, so a problem on row 17 never leaves you guessing which months made it in.
  • Each record gets its own document, numbered LEG-2026-000001 — a separate series from your live RNT- receipts, because these documents exist to say Rentor did not handle the money. Your tenant is notified, sees the same list, and can download each record.
  • It never touches the ledger. Balances, arrears and your income reports don't move — if you migrated with an opening balance, that already reflects this history.
  • Past months only. The current month has live rails: record money arriving now as a manual payment instead, so it settles what's owed.
  • Withdraw, don't delete. A mistaken record is withdrawn with a reason — it stays visible to your tenant, struck through — so the history you both hold can always be trusted.

When something needs chasing

The Needs attention card surfaces problems automatically:

  • Under review — the M-Pesa confirmation didn't match the expected amount. Rentor support is reconciling it; once resolved, the correct amount posts to the ledger.
  • Stuck — a payment was started but never confirmed. If the tenant actually paid you another way, use the Record manual payment button right on that row; otherwise ask them to retry.

Rentor keeps chasing late M-Pesa confirmations automatically, so most stuck payments fix themselves without you touching them.

For each tenant's month-by-month position — what was billed, paid and outstanding — open their card on the Tenants page. And for how payments look from the tenant's side, see Paying rent.

On the phone app

Rent & Payments is under More → Money, and it's the second button in the Jump to row on Home. It does the same job as the web page: Collected this month with the Under review, Stuck and Failed (7d) counts, the same six filters, Needs attention, and a Record a payment button that takes cash, bank transfer or M-Pesa, posts to the ledger oldest arrears first, and issues the receipt on the spot. Each receipt row has Receipt (it opens in your browser to save or share) and Send to eTIMS.

The rest of the money menu is there too: Reported Payments to confirm or send back what tenants say they paid, Receive Payments for your M-Pesa paybill or till, Card & Bank for your merchant account, and Bank Account. Setting up M-Pesa or card & bank walks you through three steps — secure your account with two-factor, collect your credentials, enter them for review — and asks for a fresh code before it saves, exactly as the web does.
