For agencies
Your portfolio & permissions
Your agency dashboard pulls every client's property into one view — while respecting, to the letter, what each landlord allowed you to do on each property.
The portfolio dashboard
Sign in and your Overview shows your whole book of business: "Managing X properties for Y landlords", with four consolidated cards:
- Units under management — the total across every property in your portfolio, whether a landlord assigned it or you added it (your subscription scales with this).
- Occupancy — occupied units across the portfolio.
- Collected this month — rent collected against expected, with the collection rate.
- Arrears — outstanding amounts and how many periods are overdue.
Below, properties are grouped by landlord, each card showing its units and occupancy, active maintenance count, and — where you're allowed to see them — collected and arrears figures.
If some landlords haven't granted financial visibility, a note explains: "Rent figures above cover the X of Y properties where the landlord granted you financial visibility. Occupancy and maintenance span all assigned properties."
Reading a property card
Each card carries a permission level badge:
- Full control — you can manage everything on this property.
- View only — you can see tenants, maintenance and financials, but not change anything.
- Custom — the landlord hand-picked your powers; small chips show which ones: Rent, Maintenance, Tenants, Listings, Financials, Notices.
- No access — an assignment that grants nothing right now.
Where financials weren't granted, the card says "Financials restricted by the landlord" instead of showing figures. Click any card to open that property.
The Properties page
Properties (under Management) is the working list: the same properties grouped by landlord, each card showing its level, location, occupancy and open repairs — and a + Add a property button for buildings you manage whose owners haven't assigned them to you. See Adding properties you manage.
A property you added that its owner hasn't confirmed yet is marked Waiting on {owner}, and those sort to the top. Whatever level you asked for, you hold a build-only tier until they answer: units, rents and photos yes; listing, rent collection, tenants, notices and leases no. The card tells you which channels the notice went out on, and offers Send the notice again.
Each card also carries a Release link. Releasing ends your management of that property — its units leave your plan and the landlord is told. Only the agency's main account can do it.
What each permission lets you do
- Rent (collect rent payments) — record rent received on the property, manage the tenancy's recurring charges and VAT, run metered utility billing, and invite caretakers for it.
- Maintenance — see the property's repair queue, acknowledge jobs, assign fundis, approve quotes and close jobs.
- Tenants (assign & remove tenants) — invite and assign tenants to the property's units, handle join requests and viewings, draft and send leases, and give a tenant notice (at least 7 days). Finally ending a tenancy stays with the landlord: you issue the notice, they confirm the move-out.
- Listings (list & de-list units) — add units, publish and unpublish them on the marketplace, and set listing expiry and availability dates. Changing an existing unit's rent, type or photos stays with the owner.
- Financials — see the property's transactions, rent figures and arrears in your money pages and reports.
- Notices — post official notices to the property's tenants, and reach them off-app by SMS/email.
- Sign leases for the owner — sign the landlord side of a lease. It comes with Full control, and landlords tick it deliberately on Custom; without it you can prepare and view leases but not sign.
Viewing basic tenant details comes with any level of access, so you always know who lives where.
The one rule to remember
Permissions apply per property and are never merged across landlords. Full control of Landlord A's building gives you nothing extra on Landlord B's — every page, list and action on Rentor filters itself to the exact property-by-property grants you hold. If a landlord revokes an assignment, that property disappears from your dashboard immediately.
