How everything works.

Every feature explained properly — for tenants, landlords, agencies, hosts and service providers.

For service providers

Invoicing clients

The Invoices page is your billing book: send professional, numbered invoices to the people you have actually worked with, and record when they pay. Rentor does not sit in the middle of this money — the invoice states it plainly: "Rentor does not collect or hold funds for this invoice." The client pays you however you agreed — M-Pesa direct, cash or bank — and you record it.

Who you can invoice

Your client picker only offers real relationships: tenants and other clients who have booked you, and landlords or agents whose maintenance jobs you were assigned. Each name shows why they are on your list — e.g. "Booked you: Deep clean — 2BR". You cannot invoice strangers; the invoice tool is not for cold-messaging.

Creating an invoice

  1. Open Invoices under Money and tap New invoice.
  2. Pick the client from the list.
  3. Add your line items — a description and amount for each; the totals update live as you type.
  4. Tick Charge VAT (16%) only if you are VAT-registered; the tax line and total are calculated for you.
  5. Set a due date if you want one. The phone app flags a sent invoice as overdue once that date has passed.
  6. Add payment instructions in the notes — e.g. your M-Pesa number or bank details.

Every invoice gets an official number in the form INV-YYYY-NNNNNN, and numbers run in sequence.

Draft → sent → paid (or cancelled)

  • Draft — only you can see it. The client cannot see a draft at all, and you can still edit or delete it. Your own preview is clearly marked Draft — not yet sent.
  • Send — the client gets a notification and an email with a link to the invoice document. A sent invoice is locked — it is a statement, not a scratchpad, so you cannot edit or delete it.
  • Mark paid — when the money arrives, tap Mark paid and add a note of how it came, e.g. "M-Pesa QGH4… 17 Jul". The client is notified and the document updates to ✓ Paid. Paid is permanent — it records money actually received — so confirm before you tap.
  • Cancel — the correction path for a sent invoice. The client is told nothing is owed, and the document shows as cancelled with the amounts struck through. A cancelled invoice cannot be paid.

The invoice document

Your client opens a clean, print-ready document showing your branding — your business name, and your logo and colours once you have set up branding — with the line items, totals, an honest status banner (Awaiting payment with the due date, ✓ Paid with your note, or cancelled), your payment instructions, and the "Powered by Rentor" footer with the no-funds disclosure. It reads as yours, because it is.

The page also keeps score for you: an outstanding total (what is owed) and a collected total.

On the phone app: open the Work tab → Invoices (it is also under More → Money). You can do everything there: tap + to write a new invoice on the spot, Save as draft or Save and send, check who has paid and what is overdue, Mark paid with a note, or cancel.

Invoicing suits work arranged outside a Rentor booking. For bookings made through the platform, clients pay directly and the booking shows a Paid badge — see Getting paid.
