How everything works.

Every feature explained properly — for tenants, landlords, agencies, hosts and service providers.

For landlords

Your landlord overview

When you sign in as a landlord, Rentor opens on your overview — your whole portfolio at a glance for the current month. Here's what everything on that first screen means.

Your setup checklist

Until your account is fully set up, a card titled Get your portfolio live sits at the top of your overview, counting your progress — "3 of 7 done". The seven steps are the real path to collecting rent on Rentor:

  1. Confirm your email address.
  2. Get your account verified — see Getting verified.
  3. Add your first property, and
  4. Add the units inside it — see Adding properties & units.
  5. Set up how you get paid — your own M-Pesa or bank account, so rent reaches you. See Collecting rent.
  6. Invite your first tenant — see Inviting & managing tenants.
  7. Publish a listing — see Publishing listings & boosts.

Each unfinished step is a link straight to the page where you do it, and a step is ticked off by the time you come back to the overview — no refresh needed. The first five are required. The last two aren't for everyone — a fully let building has nothing to advertise — so they carry a Not for me link. Hide puts the whole card away, and it disappears for good once everything is done.

A brand-new account with no property yet sees one prompt instead of the numbers below: Add your first property.

The four numbers at the top

Under the "Karibu" greeting you'll see four cards:

  1. Occupancy — the percentage of your units with a tenant in them, with the exact count underneath (for example "8 of 10 units occupied").
  2. Collected this month — rent that has actually landed this month, shown against what you expected, with your collection rate as a percentage. It turns green when you're at 90% or above.
  3. Arrears — the total amount tenants still owe you across all months, and how many billing periods are outstanding. When everyone is paid up it says "All caught up".
  4. Active maintenance — open repair jobs, plus a note if any viewing requests are waiting for your approval.

When payments need attention

If a payment gets stuck — for example an M-Pesa confirmation never arrived, or an amount didn't match — a yellow banner appears above the cards telling you how many payments need attention. Click Review → to open Rent & Payments, where you can see exactly what happened and fix it.

Your plan

Under the numbers, the Your plan card shows the plan you're on, when it renews, and how many units and properties you're using against its limits — plus any boost credits left this month. Upgrade plan and Buy add-ons both open Billing & Plans. If you've reached a limit, the card says so before you hit it while adding a unit.

Recent payments

Below that is a Recent payments table: who paid, which unit, the date, the amount, and the payment's status. Use the All tenants → link to jump to your full tenant roster. If the table is empty, it's because no rent has come in yet — assign a tenant to a unit to start collecting via M-Pesa.

Adding your first property

The + Add property button sits at the top right of the overview. It walks you through the property form step by step — see Adding properties & units.

Finding your way around the sidebar

Your menu is grouped so you don't have to scan a long list. The group holding your current page opens automatically; click any group name to expand it.

  • Portfolio — Properties, Tenants, Join requests, Stays, Viewings, Agencies.
  • Money — Rent & Payments, Refunds, Wallet, Expenses, Bills & meters, Invite & earn.
  • Operations — Maintenance, Caretakers, Content Creators, Service Providers, Hosts.
  • Communication — Messages, Reminders & Alerts, Ratings.
  • Insights & Tax — Reports, Content performance, Tax & Compliance.
  • Account — Billing & Plans, Branding, Import Data, Notifications, Help & support, Privacy, Settings.
  • Browse Rentor — Listings (the public marketplace, in case you want to see what renters see) and My trips (short stays you've booked yourself).

Each of these has its own guide in this section — start with Getting verified, then Adding properties & units.

On the phone app

The landlord app opens on Home with the same four numbers — Occupancy, Collected this month, In arrears and Open maintenance — and each one is a button: tap In arrears and you land on your tenants filtered to those who owe. Your setup checklist sits above them until it's done; below are the Your plan card, a Jump to row (Add property, Rent & payments, Maintenance, Viewings, My stays, Listings) and Needs attention, which lists your open repair jobs.

The bar along the bottom carries the places you open most: Home · Properties · Tenants · Discover · More. Everything else is under More, which has a search box at the top and groups the menu as Browse, Manage, Money, People & Messages, Reports & Insights and Settings & Account — so Rent & Payments and Wallet are under Money, and Billing & Plans is under Settings & Account.
